Privacy Policy

FamilyTrip Pro ("we", "us", or "the Service") is a collaborative trip-planning application that helps families and groups organize trips together. This Privacy Policy explains what information we collect, how we use it, who we share it with, and the choices you have.

By using FamilyTrip Pro you agree to the collection and use of information as described in this policy.

Account information. When you sign up, our authentication provider collects your name, email address, and login credentials. We store a profile linked to your account so we can associate you with your organizations and trips.

Trip content you create. The core of the Service is the content you and your fellow travelers add, including:

• Trips (names, destinations, dates, budgets, currencies)
• Activities and itinerary items (titles, descriptions, times, locations and map coordinates)
• Expenses (amounts, currencies, categories, descriptions)
• Photos you upload, including captions and optional location data
• Tasks and to-do items, including assignments to trip members

Member and invitation data. When you invite someone to your organization or trip, we collect and store the email address you provide in order to send and track the invitation.

Usage data. We record limited usage events (for example, the number of AI summaries generated) to enforce plan limits and understand how the Service is used.

• To provide the Service: storing and displaying your trips, activities, expenses, photos, and tasks to the members of your organization
• To authenticate you and keep your account secure
• To send invitation emails when you invite others to a trip or organization
• To generate AI-powered trip summaries and insights when you request them
• To enforce subscription plan limits and prevent abuse
• To improve the reliability and performance of the Service

We rely on a small number of trusted service providers (processors) to operate FamilyTrip Pro. Each provider only receives the data needed to perform its function:

• Clerk — authentication and user management. Clerk processes your email address, name, and login credentials.
• Neon (PostgreSQL) — our primary database, where your trips, activities, expenses, tasks, photo records, and organization data are stored.
• Cloudinary — photo storage and delivery. Photos you upload are stored and served by Cloudinary.
• OpenAI— AI trip summaries and insights. When you use AI features, your trip's itinerary data (trip details, activities, expenses, and member counts) is sent to OpenAI to generate the summary or insights.
• Resend — transactional email. Resend processes recipient email addresses in order to deliver invitation emails.
• Vercel — application hosting and infrastructure.
• Google Maps Platform — location search and maps. Location queries you type into location fields are sent to Google to provide autocomplete suggestions and coordinates.

AI summaries and insights are generated on request. To reduce repeated processing, generated results are cached in our database and reused until your trip data changes or you request a refresh. Itinerary data sent to OpenAI is used to generate your requested content; please review OpenAI's applicable data-use terms if you have questions about their processing.

FamilyTrip Pro is organized around organizations (for example, a family or a group of friends). Your data is isolated per organization: every trip, activity, expense, photo, and task belongs to a single organization, and access is restricted to that organization's members. Within an organization, role-based permissions (owner, admin, member, viewer) further control who can view or change data. Viewers have read-only access.

We do not sell your personal data.We do not share your data with third parties for their marketing purposes. Your data is shared only with the service providers listed above (to operate the Service), with members of your own organization (as part of the Service's collaboration features), or when required by law.

We retain your data for as long as your account is active so the Service can function for you and your organization. If you would like your account and associated personal data deleted, contact our support team and we will process the deletion request. Note that content shared within an organization (such as trips created collaboratively) may be retained for the remaining members.

We take reasonable technical and organizational measures to protect your data, including authenticated access to all application data, server-side permission checks on every request, and encrypted connections (HTTPS) between your browser and the Service. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

FamilyTrip Pro accounts are intended for adults. The Service is not directed at children under 13, and we do not knowingly collect personal information directly from children under 13. Trip content added by account holders may reference family members, including children; account holders are responsible for the content they add.

Our service providers may store and process data in the United States and other countries. By using the Service, you acknowledge that your information may be transferred to and processed in countries other than your own.

We may update this Privacy Policy from time to time. When we do, we will revise the effective date at the top of this page. Material changes will be communicated through the Service or by email.
